1. Data Protection Privacy Statement
1.1. This statement affirms the commitment of COUNTER CRIME PARTNERSHIP (CCP) to protect your privacy and to process your personal information in a manner which meets the requirements of the General Data Protection Regulations (GDPR) and Data Protection Act 1998.
2. What is COUNTER CRIME PARTNERSHIP?
2.1. CCP is a Shared Radio and Exclusion Zone community, also known as a Business Crime Reduction Partnership (BCRP).
2.2. CCP is a Member of the NATIONAL ASSOCIATION OF BUSINESS CRIME PARTNERSHIPS (NABCP).
3. What is our legal standing?
3.1. We are a private body with a legitimate interest in our community.
3.2. COUNTER CRIME PARTNERSHIP is a trading style of TENDRING SECURITY LIMITED. We are registered in the United Kingdom with Companies House at 62 - 64 CARNARVON ROAD, Clacton-on-Sea, Essex CO15 6QA, under reference 11538334.
4. Whose information are we talking about?
4.1. Subjects of Interest – People who Members submit as committing, attempting to commit or associated to those committing or attempting to commit crime.
4.2. Members – People working for or with Businesses and Organisations who are CCP Members.
4.3. Web Users – People engaging with CCP through our website, social media, online in some other way or via email and customers of our on-line shop.
5. What is our aim?
5.1. For members to communicate and respond in a coordinated manner to crime that affects our businesses, profitability, staff, customers and the local community.
5.2. To make our towns a secure environment to work, shop and enjoy ourselves.
6. How do we achieve our aim?
6.1. By working together, sharing information about crime and those committing it.
6.1.1. We believe that prevention is better than cure so first and foremost Members will warn each other in real time, using CCP Radios, when we see known Subjects of Interest or if we have a Theft or Attempted Theft.
6.2. Incidents will be recorded in our data system so the information might be translated to intelligence and disseminated back to members and/or the Police.
6.3. Profiles of Subjects of Interest will be accessible in our data system so if we hear a Name on the radio that we do not know, we will be able to look that person up.
6.3.1. We will identify Subjects of Interest for each other through our data system.
7. Where is our data stored?
7.1. CCP Members communicate and share information with other CCP Members using a purpose-built data system that we subscribe to, called SentrySIS.
7.2. CCP may communicate with Police, other organisations and CCP Members by email. For this we subscribe to Microsoft Exchange Server.
7.3. CCP will communicate using the Telephone. For this we subscribe to Microsoft Teams. Calls are not recorded.
7.4. CCP will store Member information on our Accounting System, which we subscribe to, called Xero.
8. What personal information might we process?
8.1. The information we collect may include, but is not limited to the following:
(A) Names
(B) Alias’s
(C) Addresses
(D) Images & CCTV
(E) Physical Descriptions
(F) Contact Information
(G) Associated Vehicles
(H) Occupations and/or Company Details
(I) Associates
8.2. We may monitor or record any communication between Subject of Interest, Members or Web Users and CCP for quality control and training purposes and to assist with criminal convictions.
9. Why do we keep personal information?
9.1. We may use information held about Subjects of Interest for the following reasons:
(A) For the prevention and detection of Crime.
(B) To assist in Charging and Prosecution.
9.2. We may use information held about Members for the following reasons:
(A) To manage membership and payment details.
(B) To disseminate intelligence.
(C) To circulate other information which we think may be of value or interest to Members.
9.3. We may use information relating to Web Users for all of the above purposes.
10. How might we use information operationally?
10.1. We will examine data to decide whether it is capable of being used to detect, prevent or reduce crime which is committed in our area of operation or elsewhere.
10.1.1. Where this data is assessed as being relevant, we will make it available to our Members through our Data System and to the Police using email or other means.
10.1.2. Where there is evidence that a Subject of Interest is operating over a wider region, we may share information with other Crime Reduction Partnerships through our Data System or by email.
10.1.3. We may communicate information to other public or humanitarian agencies, where it is relevant to do so for the purposes of the prevention and detection of crime and/or the prosecution of offenders, using email.
10.1.4. When a Subject of Interest is Warned or Excluded from a premises or all Member premises, we will endeavour to serve a copy of the Notice on them personally or by post.
10.1.4.1. When this is not practicable and they become aware of their exclusion by virtue of being denied access to members premises, a copy of the notice will be provided to them on request; which may mean that the Member printing off a copy of the Notice.
11. Who is in charge of our data protection?
11.1. TENDRING SECURITY LIMITED is the Data Controller for COUNTER CRIME PARTNERSHIP.
We are registered with the Information Commissioners Office (ICO) under reference ZA509484.
11.1.1. Details for the information commissioner and making a complaint can be found on their website at www.ico.org.uk
11.2. CCP: Control Room Officers are Data Processors, acting on the instructions set out by the management of CCP.
11.3. CCP Members are Data Controllers.
11.3.1. CCP Members, represented by third party employees, such as Security Guards and/or Store Detectives, are responsible to ensure these abide by membership rules.
12. Is our data secure?
12.1. CCP has appropriate technical and organisational measures in place to prevent the unauthorised or unlawful processing of personal information and accidental loss or destruction of or damage to.
12.2. Our third party IT providers, as specified above, have been chosen on the basis of them being re-nouned for having robust, secure processes.
13. How long will we keep personal information?
13.1. We will not keep personal information for longer than is necessary for our purposes.
13.1.1. Typically, if there no Incidents are added linked to a Subject of Interest, their Profile will be automatically deleted after 24 months.
14. What are your rights to access your personal information?
14.1. You are entitled, pursuant to the Data Protection Act and GDPR, to ask for a copy of your personal information, for free and to have any inaccuracies corrected.
14.1.1. Disclosure will only be permitted to persons who have provided identification.
14.2. Where we hold data for which we are not the Data Controller, we will not release that.
14.3. Where data relates to other persons, we will not release that data unless an application is received from those persons.
14.4. We may not release data that we assess as confidential, or which may either interfere with a criminal investigation or which may assist persons committing crime.
14.5. Should you wish to access your information or have any other enquiries about data protection please use the ‘SUBJECT ACCESS REQUEST’ page on our website.
